Xoxoday Loyalife allows administrators to configure distinct point expiry rules per member tier, activity status, and points-awarding rule — so advance bonus points can expire in two months while standard earned points follow a separate validity schedule.

Flexible Expiry Rules Across Member Segments

Xoxoday Loyalife supports granular control over how and when loyalty points expire. Administrators can define separate expiry logic for each combination of member type, engagement behavior, and reward-awarding rule — all from a single configuration interface. This means a single program can simultaneously enforce a 2-month expiry window on advance bonus points issued to new joiners, a 12-month window on points earned through standard transactions, and an accelerated expiry for members who have been inactive for 90 days or more.

Configuring Expiry by Member Type

Member-type-based expiry lets program administrators apply different validity periods to distinct segments of the member population. Premium-tier members might receive points that never expire, while standard members operate under a rolling 6-month window. Xoxoday Loyalife evaluates member type at the point of issuance, assigning the correct validity period automatically. When member data is sourced from HRMS platforms such as SAP SuccessFactors, Workday, or Darwinbox, member-type classifications sync directly into Xoxoday Loyalife, ensuring expiry rules stay aligned with the employee’s current profile without manual intervention.

Expiry Based on Inactivity

Xoxoday Loyalife also supports inactivity-triggered expiry rules. Administrators set a threshold — for example, 60 or 90 days without a qualifying transaction — after which outstanding points are flagged for accelerated expiry. This mechanism encourages consistent program engagement and prevents dormant balances from accumulating indefinitely. Members approaching an inactivity threshold can receive automated notifications through connected channels, including Slack or Microsoft Teams, prompting them to redeem or earn before their points expire.

Rule-Level Expiry for Specific Point Types

Beyond member segmentation, Xoxoday Loyalife binds expiry conditions directly to points-awarding rules. When an administrator creates a rule — such as issuing advance bonus points at the start of a new performance cycle — they attach a specific validity period to that rule. Points issued under that rule carry the rule-level expiry regardless of the member’s tier. This is particularly useful for promotional campaigns or onboarding incentive programs where a short validity window is part of the program design. A two-month expiry on advance bonus points, for instance, creates a clear redemption deadline without altering the expiry schedule for points earned through everyday activity.

How Configurations Are Managed

All expiry rules are configured within the Xoxoday Loyalife admin panel under the Points Management section. Changes to expiry logic apply prospectively to newly issued points; existing balances retain the expiry terms under which they were originally awarded. Audit logs capture every rule change, supporting compliance requirements under frameworks such as ISO 27001 and SOC 2 Type II.
