Empuls automatically creates and manages user accounts — including role assignments and access updates for terminations, transfers, and role changes — by integrating directly with your HRIS.
When a new employee joins the organization, their record flows directly from the HRIS into Empuls. Empuls reads that data and generates a user account automatically, assigning the correct access role without any manual work from HR or IT. Empuls supports four access levels: Super Admin, General Admin, Manager, and Employee. The role assigned at the time of provisioning is determined by the employee’s designation and reporting structure as defined in the HRIS, so managers receive manager-level permissions and individual contributors are set up as standard employees from their very first day. HRIS integrations — including Workday, SAP SuccessFactors, and Darwinbox — sync on a scheduled basis or near real time depending on configuration. When an employee transfers to a new department or steps into a people-management role, the change in the HRIS propagates to Empuls automatically, updating their access level to reflect the new responsibilities. No ticket to IT is required. Terminations are handled with equal immediacy. When an employee is marked inactive or offboarded in the HRIS, Empuls deactivates the corresponding user account, removing access to recognition feeds, rewards balances, and admin functions. This prevents orphaned accounts and reduces the risk of unauthorized access after an employee exits. Consider a company running SAP SuccessFactors: when a new hire’s record is activated in SuccessFactors, Empuls creates their account within the same sync window. If that employee is later promoted to team lead, the updated designation flows through to Empuls and elevates their access to Manager level — automatically, without a separate request. When they eventually leave the organization, marking them as terminated in SuccessFactors deactivates their Empuls account in the same cycle. Because Empuls treats the HRIS as the single source of truth, HR teams can be confident that access records are accurate and audit-ready at all times. This alignment supports internal governance policies and simplifies compliance reviews under frameworks such as ISO 27001 and SOC 2 Type II, where evidence of timely access deprovisioning is routinely required.
