Data Extraction and Associate Identification

The HR or IT team identifies associates belonging to the demerged entity and prepares a structured data file containing user identifiers, business unit mapping, and current point balances. This file is shared securely with the Xoxoday support team. Xoxoday is compatible with HRIS exports from systems such as Workday, SAP SuccessFactors, and Darwinbox, which means user records can be aligned without manual reconciliation across large associate populations.

Configurable Point Disposition

Xoxoday offers three policy-driven options for handling unredeemed reward points, configured at the organisation level before migration begins. Transfer to Personal Email: Points are moved to a personal email address, giving associates continued access to Xoxoday’s global reward store after their corporate account is deactivated. This preserves earned value and reduces associate grievances during a sensitive transition. Retract to Admin Wallet: Unused points are returned to the organisation’s admin wallet. Finance teams can then apply them to future programmes or include them in financial reconciliation — a standard requirement when the demerged entity operates under a separate cost centre. Expire Points: Points are set to expire on a custom date or after a defined notice period, aligned with the organisation’s rewards policy. Xoxoday triggers exit communications automatically so associates receive redemption deadlines before expiry takes effect.

Platform Deactivation and Compliance

Once point disposition is confirmed and processed, affected accounts are deactivated through automated or manual workflows. Every action — data ingestion, policy selection, point movement, and account deactivation — is logged within Xoxoday’s audit trail. This documentation supports internal governance reviews and satisfies requirements under compliance frameworks such as ISO 27001 and SOC 2 Type II.

Reporting and Stakeholder Communication

Xoxoday generates detailed migration reports covering the full affected population, individual point balances, and the disposition outcome for each record. These reports are delivered to HR, finance, and legal stakeholders.
