Merging Entities, Unified Rewards

When two organisations come together, reward continuity matters. Employees from the newly merged entity should not lose unredeemed points or recognition history because of an organisational change. Xoxoday ensures the integration process is structured, auditable, and aligned with the policies of both entities before any accounts go live.

Consultation and Planning

The process begins with a structured consultation involving stakeholders from HR, IT, and leadership across both entities. This session aligns reward structures, clarifies changes to the organisation hierarchy or rewarding workflows, and defines the scope of user and point data migration. Integrations with HRMS platforms such as Workday, SAP SuccessFactors, or Darwinbox are assessed at this stage, alongside SSO and directory service requirements.

Platform Configuration and Profile Setup

Once the plan is agreed upon, Xoxoday implements the necessary platform changes. Employee profiles from the merged entity are created using bulk upload templates or direct system integrations. This ensures all incoming associates are correctly mapped to the appropriate teams, cost centres, and reward policies from day one.

Points and Recognition Data Migration

Unredeemed reward points and past recognition records are migrated using a standardised CSV format. Each record is mapped to the corresponding user account, preserving historical consistency so employees retain their full reward balance and recognition timeline. For organisations using Slack or Microsoft Teams for day-to-day recognition, existing notification and workflow configurations are carried forward as part of the setup.

Validation, Reconciliation, and Go-Live

Multiple validation checks confirm data accuracy before any accounts are activated. Xoxoday provides HR and finance teams with pre- and post-migration reports to reconcile reward balances and sign off on correctness. Only after stakeholder approval is the integrated entity activated on the platform. The entire onboarding and migration cycle—from initial consultation to a live, integrated entity—typically completes within 2 weeks when stakeholders are available and data is provided in the required format.
