Empuls requires a defined set of employee master data fields, HRIS or SSO integration credentials, and active stakeholder participation across HR, IT, internal communications, and leadership to complete a secure and timely implementation.
Employee Master Data
Empuls ingests employee records to power recognition workflows, service award automation, approval routing, and analytics. The mandatory fields are unique employee ID, full name, official email address, country and location, business unit or department, designation or job level, manager ID, employee type (hourly or salaried), and date of joining. Several optional fields meaningfully improve personalization and reporting accuracy. Date of birth enables birthday recognition automation. Gender data feeds DEI dashboards. Preferred language drives multi-language notifications across regions. Mobile numbers activate SMS-based delivery for employees who are not desk-bound.Integration and Security Credentials
When Empuls connects to an existing HRIS—such as Workday, SAP SuccessFactors, or Darwinbox—the IT team provides API endpoints or SFTP access credentials to enable automated user sync. For single sign-on, SAML 2.0 or OAuth metadata must be shared so Empuls can federate authentication through the organization’s existing identity provider. Organizations issuing cash or near-cash awards may also require a payroll API or secure SFTP connection for financial disbursement workflows. Collaboration integrations with Microsoft Teams or Slack require app-level permissions to push recognition notifications directly into team channels. All data exchange is encrypted in transit and aligned with Empuls’s ISO 27001 and SOC 2 Type II compliance posture.HR and Program Team Responsibilities
HR teams nominate a dedicated program owner and regional points of contact who define award categories, approval workflows, budgets, and employee experience objectives. This group also approves branded elements—logo, subdomain, and theme—and signs off on launch communications and any localization requirements before go-live.IT and Security Team Responsibilities
The IT and security team reviews Empuls’s InfoSec documentation and coordinates the technical integrations across HRIS, SSO, and collaboration tools. Empuls supplies pre-signed security questionnaires and integration checklists to accelerate InfoSec review cycles and reduce back-and-forth.Leadership and Internal Champions
Senior leadership endorsement at launch materially increases adoption rates. Empuls recommends identifying internal champions—typically engaged employees across geographies—who can model the platform and build early social proof within Microsoft Teams or Slack channels before a company-wide rollout begins. Cross-functional alignment across all four groups ensures Empuls reflects the organization’s data governance policies, brand standards, and employee expectations. Empuls provides templates, trackers, and implementation advisory at every stage of this process.
