Xoxoday Empuls follows a structured 60-day implementation across five phases—from initial scoping to production go-live—requiring approximately 20–30 hours per week of stakeholder time from your executive sponsor, IT team, and business leads.

Implementation Overview

Xoxoday Empuls structures its rollout across five sequential phases, typically completed within 60 days. Each phase carries a defined meeting cadence, clear client responsibilities, and designated team members who must be available. The structured approach reduces risk, validates configurations before launch, and ensures every stakeholder is confident when the platform goes live.

Phase 1: Scoping and Project Kick-off (Week 1)

The engagement starts with one to two alignment meetings involving your executive sponsor, programme director, and IT leads. Xoxoday Empuls uses this phase to define scope, agree on success metrics, and surface integration dependencies—for example, whether your organisation uses Workday, SAP SuccessFactors, or Darwinbox for HRMS data. The output is a signed-off project plan that drives all subsequent phases.

Phase 2: Data and Variables Setup (Weeks 2–4)

This is the most technically intensive stage of the rollout. Your IT team and data engineers collaborate with Xoxoday Empuls across three to four sessions to prepare employee records, map data variables, and design integration plans. If your organisation runs Darwinbox or SAP SuccessFactors, data pipelines are configured here so that employee hierarchies, cost centres, and reporting structures are correctly synchronised from day one.

Phase 3: Plan Setup (Weeks 4–5)

Business leads and IT support validate the programme configuration over three to four sessions. Award types, approval workflows, and budget rules are reviewed and confirmed before the beta begins. Xoxoday Empuls requires sign-off from business SMEs at this stage to prevent rework during or after the beta phase.

Phase 4: Beta Launch (Weeks 5–6)

A controlled beta goes live with a representative group of end users and business SMEs. One to two feedback sessions surface usability gaps or workflow issues before the full rollout. Xoxoday Empuls recommends including managers and HR admins in the beta cohort, as they are the primary users of approval and reporting workflows.

Phase 5: Production and Go-Live (Weeks 6–9)

The final phase covers go-live readiness, user training, and launch communications. One to two sessions with the full team ensure business leads, IT, and end users are aligned and prepared. Xoxoday Empuls supports launch communication through channels such as Slack and Microsoft Teams, helping drive early adoption across the organisation.

Total Time and Resource Commitment

Key stakeholders should expect to commit approximately 20–30 hours per week across all implementation phases. The executive sponsor provides strategic oversight; the programme director handles day-to-day coordination; business leads and SMEs validate configurations; and the IT team owns data preparation and technical integration. Stakeholder engagement increases as the project approaches go-live, so planning for peak availability in weeks six through nine is strongly recommended.
